3 months of changes at Ploy

Hey there 👋
As the Olympics wind down, it's time for us to share what we've been up to over the last 3 months at Ploy. There's a lot of exciting new features and improvements that we've made to the platform that we think you're going to be really excited about 👇
🙌 Employee Access catalog 2.0
The crowning feature of the last 3 months is definitely the completely re-vamped employee access catalog. You may notice that it's now called an access catalog vs the previous app catalog. This is because the new access catalog let's you create a catalog containing any resource you want, not just applications. This means groups, channels, Github repos, folders, databases, distribution lists, licences, Salesforces roles - basically anything you can think of.
It's also jam packed with a lot of features including:
Custom catalogs: You can now create as many custom catalogs as you want, each only shown to every employee or ones who match a certain set of filters.
Just in time access: Automatically provision access only when the employees need access
Time based access: Enforce least privilege by restricting how long an employee can get access to a resource. Anywhere from 1 minute to 10 years
Complex approval flows: Save hours of helpdesk time by creating complex approvals such as: 'reject if no MFA - but allow if engineering and time requested is less then 2 hours otherwise require approval from anyone in this security group'
Custom provisioning strategies: Provision access automatically or create manual task lists to provision employee access
Self service: Allow employees to request access from the new employee portal, whilst also keeping them up to date on every step of the access timeline, reducing the amount of 'Hey when do I get access to XYZ' messages.
Automatic extension: Along with time based access, you can configure the catalog to also allow employees to automatically extend their access for another X time period if needed
Audit logs: As always, all requests and provisioning logs are fully exportable in format ready for auditors and compliance frameworks

We've also completely redone our start page to give you a quick snapshot of what's happening in your Ploy environment. Watch this space as there is a lot more insights and visibility coming to Ploy over the next few months 👀

▶️ Manually trigger playbooks
You can now create playbooks - which are essentially repeatable processes for performing a specific task or action, and run these against any app or resource in Ploy.
This is great for executing non-scheduled processes such as:
Automatic usage and access deprovisioning surveys
Adhoc access reviews
Bulk updating apps based on complex conditions

📝 Survey filters
Admittedly, this has been a long overdue feature but you can now filter exactly who will receive a survey. Prior to this change, all accounts or the owner would the only option for recipients of a survey, but now you can filter by any employee field allowing you to send out surveys to only contractors, internal, external or employees in specific departments.

📖 Export apps
You're now able to also export all the apps we've found in Ploy directly to a CSV. This will also respect the currently applied filters, meaning you can do things like send finance an export of all apps approaching renewal, or send HR a list of apps an upcoming leaver is the owner of.

✅ Employees can self-manage their apps
With the addition of the new employee portal, employees are now able to view a list of all the apps they have access to, as well as being able indicate whether or not they still need access.
For larger companies, this is a fantastic way to quickly gather information about whether or not licenses or even entire applications are still needed when it comes to cost savings across your SaaS stack.

📟 And a whole heap of other stuff
As always there's also been a whole heap of other new functionality added to the platform 👇:
If a user is already a member of a group and you try and add them, this will be now be considered to succeed in flows
Microsoft: Pull in start date
Removed confidence score from auth types
Added 'Is manager' field to employees
Ability to clone a workflows
Manual date trigger can now be specified to run at a certain time
Forms: Can now add reviews to sent security questionaires
Forms: Now have distinct stages
Flows: You can now retry a failed step
Okta: You can now disable an Okta account from Ploy via Flows
Salesforce: Create new users via Ploy with a federation ID
