JOINERS

The account exists before the first test run

Policy says the role needs TestRail. Ploy adds the user and puts them in the groups that role calls for, so the first thing they open is the suite and not a ticket.

ACCESS

Group membership is a request with an owner

A request for a TestRail group goes to the person who owns it. The approval writes the membership, and the grant can expire on its own.

LEAVERS

Deactivated, and the seat comes back

Offboarding clears the active flag on the TestRail user, which frees the licence seat. The account stays deactivated on the record, because the API offers no hard delete.
